Notion is the default flexible-doc tool. It is also fully cloud-hosted and increasingly AI-integrated in ways that send your data to servers. Here are the alternatives.
What Notion gets right
Blocks. Databases. Templates. The mental model is powerful enough that an entire company's knowledge graph fits inside it.
Where Notion fails on privacy
Zero-knowledge encryption is not offered. All content is readable server-side. AI features process your documents on Notion servers. For personal journals and confidential work, this is disqualifying.
Good alternatives
Obsidian for markdown + local files. Anytype for block-based local-first (still maturing). Evernote alternatives overlap significantly.
The mobile gap
Most Notion alternatives are desktop-first. Mobile-native tools are thinner on features but faster for capture.
When to switch
When you notice you're writing around the tool — never putting something sensitive in Notion because you're not sure where it goes next. That hesitation is the signal.
